Privacy Statement

19 July 2018

Your privacy is of great importance to Greefa (De Greef’s Wagen-, Carrosserie- en Machinebouw B.V.). We therefore comply with privacy law and legislation. This means that we will:

  • Clearly set out our purposes through this privacy statement, before we process your personal data;
  • Store as little personal data as possible and only the data necessary for our purposes.
  • Ask permission for the processing of your personal data, should consent be required.
  • Take the necessary security measures to protect your personal data. We also impose these obligations on parties who process personal data for us.
  • Respect your rights, such as the right to access, correct or delete your personal data processed with us.

Your data is safe with us and we will always use it properly. In this Privacy Statement, we explain what we at Greefa do with all the information we have about you.

Processing of personal data

Contact form
You can use the contact form on our website to ask us questions or make requests.

For this purpose, we use your name and address details, telephone number, email address, company name, country of residence or establishment and other information that you provide via our contact form. We use this information to be able to answer your question or request, to make you an offer if desired, and to perform any agreements with you. We will retain this information until we are sure that you are satisfied with our response, or as long as you are a customer of ours.

Dealer contact form
You can contact one of our dealers via our website. You fill in the contact form and we forward it to your chosen dealer. Via our contact form, we process your name and address details, telephone number, email address, company name, your country of residence or establishment and the other information you provided us with via our contact form. The dealer will further process your contact request. We will retain this information until we are sure that you are satisfied with the dealer’s response, or as long as you are a customer/supplier of ours.

Job applications
When you apply for a job with us, we collect the following personal data (hereafter also referred to as: ‘job application details’):

  • name and address details;
  • contact information;
  • CV;
  • content of your letter of motivation;
  • content of the covering letter;
  • any specified references.

We process this information in order to process your application and – if you join us – in order to be able to perform your employment contract.

Social media and Google search

A social media and Google search can be part of the application process. This is necessary to ensure that the recruitment of new staff does not damage our reputation. We will run a Google search on your name and have a look at any profiles you may have on Twitter, Facebook, Instagram, YouTube, and LinkedIn. This, of course, only insofar as these profiles are public; we will not ask you to grant us access to a protected social media page or to connect with us. The results of the research will be discussed with you.

Retention periods for job application data

We keep the application data for a maximum of six weeks after the job has been filled. We will retain this information so that we can contact you should the position become vacant again during the probationary period.

If we are unable to offer you a position at the moment but expect that a suitable position for you will become available with us in the near future, we may – with your permission – keep your application data for another year. You can withdraw your consent at any time.

If you come to work for us, we will keep your application data in your personnel file. This file will be kept for two years after you leave our company, but if we no longer need certain data before that, we will delete it. We must store fiscally relevant data for longer (usually 7 years) for the Tax and Customs Administration. Additional information is available for employees via our Personnel Manual.

Testimonials
You have the option of providing us with a testimonial. With your permission, we will publish this testimonial on our website. For this we will use your name, company name, photo and the content of your testimonial. You can always withdraw your permission for the publication of the testimonial or ask us to pseudonymise it. If you do not withdraw your consent, we will retain your testimonial for as long as it is relevant to our services.

Provision of data to third parties

The data you provide will be passed on to the following third parties, if this is necessary for handling your question or request, or for performing the agreement:

  • the dealer(s) you have selected;
  • parties who supply parts, materials and products to us or who carry out work on our behalf;
  • IT service providers.

We ensure that our IT service providers do not process your data outside the European Union. Furthermore, we will not provide the information you provide to other parties, unless this is necessary in the context of the performance of the agreement you enter into with us or if this is legally required or permitted, if you have given us permission for this or if we have a legitimate interest in this.

Data security

The security of personal data is of great importance to us. We therefore take the following measures to protect your privacy:

  • Access to personal data is protected by a user name and password;
  • We use secure connections (SSL/TLS) that protect all information between you and our website when you enter personal data;
  • We keep logs of all requests for personal data.

Changes

If our website or our services change, we must, of course also amend our Privacy Statement. You should therefore always pay attention to the date above and check regularly to see if there are any new versions. We will do our best to announce changes separately as well.

Your rights

If you have any questions or if you would like to know what personal data we have about you, you can always contact us. See the contact details at the bottom of this Privacy Statement.

You have the following rights:

  • the right to receive information about what personal data we have and what we do with it;
  • the right of access, and to receive a copy of the exact personal data we have about you;
  • if technically possible, the right to have your personal data transferred to another organisation;
  • the right to have any errors corrected;
  • the right to have any outdated personal data removed;
  • the right to withdrawal your consent;
  • the right to restrict processing;
  • the right to object to a particular use.

Please note that you must always clearly indicate who you are, so that we can be sure that we do not modify or delete any data of the wrong person.

Submitting a complaint
If you feel that we are not helping you in the right way, you have the right to complain to the supervisory authority: the so-called Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
